Sponsorship of Sunscreen Program - City of Long Beach, New York

Objective

 

The City of Long Beach, New York (the “City”), with a year round population of approximately 37,500 persons, is located on Nassau County’s south shore. The City has a 5 mile oceanfront, 2.2 mile boardwalk, and 5 miles of bay front along Reynolds Channel. The City has become increasingly popular to visitors. As a result, the City is desirous of implementing a sponsorship program for the distribution of sunscreen (the “Sunscreen Program”) on its boardwalk in an effort to minimize the adverse effects of sun overexposure to both the residents and visitors of the City of Long Beach.

 

 

Purpose

 

The City is seeking to enter into a three (3) year contract with the selected firm, whereby the vendor would install, maintain and operate a minimum of eight (8) to a maximum of sixteen (16) sunscreen dispensers. The dispensers would allow for a logo advertisement of the sponsor on each such unit.   At no cost to the user, such dispensers shall distribute sunscreen lotion bearing a minimum SPF rating of 30 to the public from Memorial Day through Labor Day of each year during the term of such contract.   The sunscreen dispensers shall be placed on the south side of the boardwalk at entrance ramps to the beach. All locations of such shall be chosen by the City, in its sole discretion, and the City may elect to change any location in its sole discretion.

 

 

Background and Information

 

  1. Interested parties must submit design concepts illustrating the proposed Sunscreen Program dispensers and any logo(s) to be displayed thereon to the City for approval in the City’s sole discretion.

     

  2. The successful proposer(s) shall be required prior to the installation of any Sunscreen Program Dispenser awarded hereunder to obtain and maintain all required approvals and permits pertaining to the operation thereof, as well as to display a list of the contents therein, in order to be compliant with all United States laws, United States Food and Drug Administration Rules and Regulations, New York State laws, Nassau County Department of Health, City of Long Beach and any and all other applicable laws, rules and regulations.

 

  1. The successful proposer(s) shall be responsible for all licenses, permits, fees and other costs associated with the proper operation of the Sunscreen Program dispensers.

     

  2. The successful proposer(s) shall be responsible for the procurement of sunscreen and the maintenance, administration and operation of the entire Sunscreen Program. The City shall have no involvement whatsoever in the operation, maintenance or administration of the Sunscreen Program.

 

  1. All sunscreen lotion to be dispensed under the Sunscreen Program must be of high quality that provides both UVA and UVB protection, and is rated a minimum SPF of 30 by the United States Food and Drug Administration. The successful proposer(s) must strictly comply with all applicable labeling requirements as is necessary.

 

  1. All Sunscreen Program dispensers must be maintained, inspected, cleaned and refilled with sunscreen sun lotion bearing a minimum SPF of 30 on a regular daily basis.

  2. The successful proposer(s) shall document such maintenance, inspection, cleaning and refilling in a log book, which is to be made available to the City upon request.

 

  1. The successful proposer(s) shall respond to any and all requests for repair within 24-hours of receiving such a request. Additionally, the successful proposer(s) is responsible for ensuring the functionality of all such Sunscreen Program dispensers on a daily basis.

 

  1. The successful proposer(s) shall inspect on a regular daily basis to ensure there is no leakage or spillage, and that the Sunscreen Program dispensers and areas surrounding such remain clear and free of sunscreen lotion.

Sponsorship

 

In consideration for sponsorship of the Sunscreen Program, the successful proposer(s) will be able to display a logo on each of the Sunscreen Program dispensers. Further, the City and sponsor shall hold a press event to announce and showcase the Sunscreen Program and speak to the importance of skin cancer prevention.   Further, the City will further provide to the successful proposer(s) a space on the boardwalk for five (5) days of each year, chosen at the City’s sole discretion, for a Sponsor Education and information booth regarding the prevention of skin cancer.
